Commitee Meeting Tips
- Have an agenda completed before the meeting.
- Send it to your committee members ahead of the meeting to solicit their input and ask for suggestions of other topics.
- Give proper notice of the meeting day/time/location so that members can plan to attend.
- Be prepared for changes and have a final copy of the agenda ready to hand out at the meeting.
- Attendance is crucial!
- Have at least one executive board member at your meeting. This allows the E-Board to keep informed as to what your committee is doing and to provide insight and guidance.
- Ask your advisors to come to the meeting. Perhaps give an invitation to other interested Kiwanians as well.
- Unless you are planning an in-depth event that you would like to keep secret, open your meetings up to all members. You can educate more people about the K-Family and find more volunteers to work for your events.
- Involve everyone in the meeting by delegating members to report on events, assign them to projects and through general discussions.
- Follow the KISS principle (Keep it Simple Stupid)
- Keep the meeting on time and the members on target. Don't drag it out!
- If the meeting is boring, the members might not come to the next one.
- This is an extra meeting, outside of normal Circle K time, that members are not required to attend. Give them a reason to come back!
- Keep Accurate Records
- Take notes for your files.
- Write up a brief report to give to your President and Secretary.
- Be prepared to give a report of the committee's actions at the next general meeting or executive board meeting.
